Number of Attendees: 120 Date: 10 Jan 2025 Venue : To be advised by Vendor The vendor is expected to provide comprehensive support for the planning, setup, execution, and postevent evaluation of the SM&C End-of-Year Gathering. This includes: EVENT REQUIREMENTS: Event Planning and Coordination: Develop a theme, conduct a site recce, and assist in event scheduling. Venue Setup Support: Shaded areas or temporary structures for sun protection, access to restroom facilities, parking availability, power supply points, water stations, first aid station, seating areas, waste management system Technical Requirements: Sound system for announcements/music, microphones, presentation screens/projectors to present to 120 people, recording equipment for capturing moments, back-up generators, big screen to present to 120 people Team-Building Activities: Supply and facilitate outdoor games, creative workshops, and team-building exercises including and not limited to: equipment for outdoor games, games for participants, materials for creative exercises, props for team challenges, safety equipment, scoring systems, activity facilitators Catering and Refreshments: Provide morning refreshments, a lunch buffet, and afternoon snacks, with water stations and dietary options including but not limited: morning coffee/tea/ fresh juices station, breakfast snacks, lunch buffet, afternoon refreshments, water stations throughout, special dietary considerations, serving equipment, service staff Logistics and Staffing: Supply a team for setup and teardown, event coordinators, technical support, security, and cleaning crew (DJ, event coordinators, event facilitiators, technical support team, medical personnel, security staff, cleaning crew, activity facilitators, photographers/videographers) Safety & Comfort: First Aid Kits, Comforatable seating areas (bean bags), clear signage Documentation: Name tags, team identifiers, and post-event feedback forms Tender Link : https://adgpg.gov.ae/en/For-Suppliers/Public-tenders
