Archiving Services – Outsourcing, Storage And Destruction Of Patient Files. Preparation Of The Files The Preparation Of The Files Must Be Ensured While Maintaining The Specified Sorting/Filing. It Includes The Following Services: - Removing The Files/Folders From The Shelves/Cupboards In The Sorting Order, Folding The Archive Boxes Provided By The Contractor. - Packing Of Several Patient Files, Depending On The File Size, Into An Archive Box By The Contractors Employees. The Maximum Weight Per Box Is Approx. 25 Kilograms. - Sticking A Barcode Label On The Archive Boxes. Each Box Is Given A Unique Number. - Electronic Recording Of Each Patient File In The Contractors File Management System According To The Specified Search Criteria (Last Name, First Name, Date Of Birth, Year Of Treatment, Number Of The Archive Box And Date Of Destruction). - Stacking The Archive Boxes On Pallets - Packaging (Stretching The Pallet) - Transporting The Pallets/Cartons To The Truck - Loading And Unloading The Truck Transporting The Files To The Contractors Warehouse Palletizing The Boxes (Approx. 20 Boxes With Patient Files Per Pallet) And Subsequent Data Protection-Compliant Removal. Storage In The Contractors Warehouse Storage Of The Boxes And Linking Them To A Storage Location In The Contractors It System In The Central File Warehouse. The Cardboard Boxes Are The Property Of Mul And Must Be Stored Unopened. Provision Of The Cardboard Boxes In Accordance With Mul-Cts Data Protection Guidelines Upon Request From Authorized Persons Of The Client For Delivery Or Inspection On Site. Destruction Handover Of An Annual Overview Of The Files To Be Destroyed To The Client At The Beginning Of Each Year. Once Signed/Released By The Client, The Files Will Be Immediately Destroyed By The Contractor In Accordance With Data Protection Regulations. Return Delivery/Restorage Of Requested Files: - Return Delivery Of Original Files (Individual Files): The Requested Files Should Be Returned Via Courier To The Clients Address. Requested Files Will Either Be Destroyed Directly By The Client Or Returned To The Contractor For Re-Storage. The Contractor Must Then Put The Files Back In The Box From Which They Were Removed.
